Quick Export
This guide explains how to use Quick Export to download your item catalog and inventory data as Excel spreadsheets.
Overview
Quick Export lets you extract data from Tagnet into .xlsx files for offline analysis, reporting, or sharing with colleagues who don't have system access. You can export items, inventory, or both in a single file. Every export uses the layout Quick Import reads, so you can edit a file in Excel and import it again.
Getting Started
Quick Export is on the Inventory page and needs the View Inventory permission. Click Export in the page header, beside the Add menu, to open the Quick Export dialog:
- Choose what to export: Items and inventory, items only, or inventory only
- Choose a scope: Only for an export that includes inventory, and only when you have more than one site scope. With one, it is used automatically.
- Click Export: The file downloads, and the dialog closes
What Each Export Includes
Items are shared across your whole organization, while inventory belongs to a site, so each export draws from a different place:
| Export | File Name | What's Included |
|---|---|---|
| Items only | items-export_2026-10-11_1432.xlsx | Every item you can see, whatever scope it was created in. No scope is chosen. |
| Inventory only | inventory-export_acme-denver_2026-10-11_1432.xlsx | The chosen scope's inventory |
| Items and inventory | full-export_acme-denver_2026-10-11_1432.xlsx | The chosen scope's inventory, with each item it references, in the Full Import layout |
The file name ends with the chosen scope's code (when the export has a scope) and the date and time of the export on your own clock, so a folder of exports sorts by date.
Items Only
One row per item:
| Column | Description |
|---|---|
| Item Id | Unique item identifier |
| Item Description | Item name or description |
| Item Type | Category of the item |
| Unit Cost | Cost per unit |
| Item custom fields | One column per item-level custom field |
Inventory Only
One row per inventory instance:
| Column | Description |
|---|---|
| Item Id | The parent item identifier |
| Instance Id | Unique instance identifier |
| Inventory Description | Description specific to this instance |
| Quantity | Quantity of this instance |
| Location | Where the instance is, as a path within the site (see Locations) |
| Tag Id | Assigned RFID tag identifier |
| Inventory custom fields | One column per inventory-level custom field |
Items and Inventory
The item columns, then the inventory columns, then the item custom fields, then the inventory custom fields. Item-level data (Description, Type, Unit Cost, and item custom fields) appears on the first row for each item, and the rows below it hold only that item's inventory. This is the fill-down format Quick Import reads.
Custom Fields
Each item-level and inventory-level custom field gets its own column, headed with the field's display name, in the order the fields are displayed. A field gets a column even when no exported row has a value for it.
- Values are written exactly as Tagnet stores them, so they import back unchanged.
- Image and File fields are left out. Their values are uploaded files, not text a cell can hold.
- Shared names: When two fields share a display name (for example an item field and an inventory field both called
Notes), or a field's name matches a standard column such asLocation, the column is headed with the field's key instead (for exampleitemNotes). Quick Import matches the key, so the values still return to the right field.
Locations
The Location column holds the full path of the location within its site, from the top of the site's tree down, with each level separated by a slash: Warehouse / Aisle 3 / Bin 7. Quick Import reads the same path, so a location is found again even when another branch has a location with the same name.
A location whose name contains a slash cannot be told apart from a path. Rename it before you export if you plan to import the file again.
Importing an Export Again
Exporting Items and inventory and importing the unchanged file into the same site creates nothing: the item types, custom fields, locations, and items all exist already, and every row is reported as an existing Instance Id. To use an export as a starting point:
- Add new inventory: Replace the Instance Id (and Tag Id) on the rows you want to add, or clear them to have Tagnet generate new ones.
- Load another site: Inventory Instance Ids are unique across all sites, so change them before importing into a different site.
Row Limit
Exports are limited to 10,000 rows. If your data exceeds this limit, the export includes the first 10,000 rows and displays a warning that the results were truncated.
Formatting
Exported files are formatted for readability:
- Column headers are bold with a gray background
- Columns are auto-sized to fit their content
- Data is ready to filter and sort in Excel
- The last row names your organization's license, the Tagnet version, the scope, and when the file was exported, with your time zone's offset from UTC (for example
Exported 2026-10-11 14:32 (UTC-06:00)). It stays with the data even if the file is renamed. Quick Import ignores it.
Tips
- Round trip with Quick Import: Export Items and inventory to get a snapshot of a site, make changes in Excel, and import the new rows with Quick Import.
- Offline reporting: Export inventory data for stakeholders who need visibility without system access.
- Data validation: Export your data periodically to review and verify accuracy outside the system.
