Items
The Items page is your product catalog, a registry of all the types of things you track. Each item definition serves as a template for creating inventory items. For example, "Cisco Switch CX1233" is an item in the catalog; individual tracked units of that switch are inventory items created from it. The page's tabs hold the catalog itself, its item types, and the sequence generators item types mint IDs from. The custom fields that extend items, inventory, and transactions have their own page, directly under Items in the navigation. The Inventory page holds the instances, their transactions, pending tag mappings, and the transaction types a movement can be recorded as.
Overview
Items define the "what" while inventory items define the "which one." A single item can have many inventory instances, each with its own RFID tag, location, and history.
From the Items page you can:
- Create item definitions with unique IDs, descriptions, and types
- Set default quantities for items that track quantity
- Copy items to quickly create similar definitions
- Search and filter the catalog
Identifier strategies (how instance IDs and RFID tag IDs are generated) are configured on the Item Type, not on the individual item. Every item inherits its type's strategy automatically. See the Types guide for details.
Permissions
| Permission | What It Allows |
|---|---|
| View Items | See the item catalog and item details |
| Manage Items | Create, edit, copy, and delete items |
Access scopes control which items a user can see and manage.
The Items Grid
Columns
| Column | Description |
|---|---|
| Item ID | Unique identifier (SKU, model number, part number, etc.) |
| Description | Item description (truncated, full text in tooltip) |
| Type | Item type chip with icon and color |
| Scope | Access scope (shown when multiple scopes are active) |
| Actions | Details, Edit, Copy, Delete |
Search and Filtering
The Items page has a filter bar above the grid with full-text search and advanced filters.
Text Search
Type in the search bar to filter by Item ID, description, type name, or searchable custom field values. Search is case-insensitive and updates automatically after a brief typing pause.
Filter Drawer
Click the filter icon (funnel) on the right side of the filter bar to open the filter drawer. When any filter is active, the icon appears filled to indicate filters are in use.
Available filters:
| Filter | Description |
|---|---|
| Item Type | Select one or more item types to show only items of those types |
| Availability | Narrow by which scope owns the item: All, Shared (the system scope), or a specific site |
| Unit Cost | Set a minimum and/or maximum cost to filter by price range |
| Created Date | Filter by when items were created (from/to date range) |
| Updated Date | Filter by when items were last modified (from/to date range) |
| Custom Fields | Indexed custom fields appear as additional filters: text fields support contains search, select fields support multi-value match, numeric fields support min/max range, date fields support from/to range, and boolean fields support yes/no selection |
Note: Only custom fields marked as indexed appear in the filter drawer. See the Custom Fields guide for details on indexing.
Tip: The Availability filter is independent of the header's scope filter: the header filter narrows down site data, but shared catalog items stay visible regardless of which sites you're focused on. Use Availability when you specifically want to isolate shared items from site-owned ones, for example, to audit what a single site added to the catalog on its own.
Filter Chips
Each active filter appears as a chip below the search bar showing what is being filtered (e.g., "Type: Asset, Tool" or "Unit Cost: $10.00 – $50.00"). Click the X on any chip to remove that individual filter. Click the Clear All button to reset all filters at once.
Filter Persistence
Your filter selections and the column you sorted by are remembered as you navigate away from and back to the Items page within the same session. This means you can view item details, edit an item, or visit another page and return without losing your filters or your place in the list. Clear all resets the filters but leaves the sort in place; a full browser refresh returns the list to its default order.
Creating an Item
Choose Item from the Add menu in the page header of the Items page to open the item editor.
Item Fields
| Field | Description | Required |
|---|---|---|
| Item ID | Unique identifier, typically a SKU, model number, or part number | Yes |
| Description | Description of the item | No |
| Item Type | Classification category (Asset, Consumable, Product, etc.) | Yes |
| Default Quantity | Default quantity when creating inventory items of this type | No |
| Unit Cost | Optional cost for valuation purposes | No |
| Access Scope | Visibility and access control. New items route to the shared system scope with no prompt; this becomes an Availability choice ("Shared" or a specific site) only when your deployment enables the Scoping > Site Catalog policy, which is disabled by default (see Policies). See Access Scopes. | Yes |
Note: The Instance ID Strategy and Tag ID Strategy are set on the Item Type, not on the item. After you select a type, the item automatically inherits that type's identifier strategies. You can see the effective strategies on the item's detail page, labeled "(from type)."
Viewing Item Details
Click any row to open the item's own page, with an Overview tab and an Analytics tab.
Overview Tab
- Item ID and description
- Item type with icon
- Access scope
- Audit information (created/updated timestamps and users)
Click Edit from the detail page to modify the item.
Analytics Tab
Rolls up the on-hand and movement history for every inventory instance of this catalog item. It is the item's inventory slice, the same view you get at /inventory/item/{id} under the Inventory page:
- Hero stats: Quantity on hand, Total value (unit-cost based), and Instances, with a note of how many are new and still awaiting placement
- Inventory level: A time series chart of total on-hand quantity across all instances (24h/7d/30d/90d)
- Movement: A time series chart of transaction volume broken down by transaction type, over the same range, with a View transactions button that opens the Transactions list filtered to this item
- By location: A table showing how this item's on-hand quantity is distributed across locations, with each row's parent locations so you can tell apart same-named locations at different sites. A Location / Location type toggle in the card header re-cuts it by kind of location. Click a row to open that location's inventory slice.
Editing an Item
Select Edit from the actions menu to modify an item's properties. All fields can be updated except the Item ID, which is immutable after creation.
Copying an Item
Select Copy from the actions menu to create a duplicate with "(Copy)" appended to the name. This is useful for creating similar items that share most properties but differ in a few fields.
Deleting an Item
Select Delete from the actions menu. An item can only be deleted if it has no linked inventory instances. If inventory items exist for this catalog item, the delete option is disabled with a count of how many instances reference it.
Items vs. Inventory Items
| Concept | Items (Catalog) | Inventory Items |
|---|---|---|
| Purpose | Define what you track | Track specific units |
| Example | "Cisco Switch CX1233" | "SN-00451" (one specific switch) |
| Cardinality | One per product/model | Many per catalog item |
| RFID Tag | None | Each has an active tag |
| Location | None | Tracked through transactions |
| Custom Fields | Item-level defaults (e.g., manufacturer, model year) | Per-instance values (e.g., serial number, purchase date) |
For Integrations
The Items REST API (/api/v1/items) supports creating, reading, updating, and deleting items. When an item has Image or File custom fields, you can upload files directly to those fields without a separate attachment step.
Reference an item type by code
If the item type has a Code assigned, you can create or update an item with itemTypeCode instead of looking up itemTypeId first. This is useful for an integration that already has its own type codes (grading codes, family codes, and the like) and would rather not track Tagnet's internal item type IDs.
Give exactly one of itemTypeId or itemTypeCode when creating an item. On update, give at most one; omit both to leave the item's type unchanged. Item responses include the resolved itemTypeCode alongside itemTypeId, so your integration can work from whichever identifier it prefers.
Note: See the Types guide for the rules governing item type codes: formatting, uniqueness, and how to look one up.
Uploading to Image and File custom fields
Use the sub-resource upload endpoints to set an Image or File field in one call:
PUT /api/v1/items/{id}/custom-fields/{fieldKey}/image
PUT /api/v1/items/{id}/custom-fields/{fieldKey}/file
Send a multipart/form-data request with a single part named file. The server validates the content, stores the file in the item's access scope, sets the field, and removes any file the field previously held. Requires the ManageItems permission.
Item responses include a customFieldAttachments map alongside customFields. Each entry resolves an Image or File field's attachment ID to its filename, content type, size, and a download URL so you can render the file without a separate lookup.
For the complete upload API reference, including validation rules, error codes, content sniffing, and the clearing/deletion pattern, see the Custom Field Attachment Uploads guide.
Best Practices
- Use consistent Item IDs: Follow a naming convention (SKU format, model numbers) so items are easy to find and reference.
- Assign meaningful types: The item type controls identifier generation, quantity tracking, and custom field visibility. Choose a type that reflects how items in this category are managed and identified.
- Set default quantities: For consumable items, set a default quantity to speed up inventory item creation.
- Configure identifier strategies on the type, not here: If you need a specific instance ID or tag ID strategy for a group of items, configure it on the Item Type. All items of that type will inherit it automatically. See the Types guide.
